Privacy policy

This privacy notice provides general information about how Portsmouth Safeguarding Children Partnership (PSCP) processes data.

Portsmouth City Council is the Data Controller [registration number Z5578313] with responsibility for the data processed by Portsmouth Safeguarding Children Partnership. What information does PSCP collect and what does it do with it?

  • Email: If you contact us, we may keep a record of that correspondence for up to 1 year.
  • Training: Personal information (including your name, contact details and employer) and a log of courses you attend will be held for up to 5 years.
  • Safeguarding Practice Reviews: personal information in regard to children and their family who are brought to the attention of PSCP, due to significant events affecting their welfare, will be held for up to 75 years from the birth of the child.

We collect and share personal information only where this is lawful, ensuring that we comply with the General Data Protection Regulation (GDPR) and the Data Protection Act 2018 (DPA2018) requirements for processing through:

  • Article 6(1)(e) – the processing is necessary to perform a task in the public interest or for our official functions, and the task or function has a clear basis in law;
  • Article 9(2) (g) – Necessary for reasons of substantial public interest on the basis of Union or Member State law which is proportionate to the aim pursued and which contains appropriate safeguarding measures; and Sch.1, Pt.2, 1 – Substantial public interest conditions, for processing under the DPA2018.

We do not use any of the information we collect for anything other than its intended use. We do not sell or share any information we collect with any 3rd parties for marketing or advertising purposes.

How do we keep personal information secure?

The information provided to us will be held within the PSCP’s secure storage system to which only authorised staff in the PSCP Business Unit are allowed access. The information held within this storage system will be kept in line with our retention schedule and then disposed of as appropriate. The PSCP’s storage system is hosted by the City Council in secure UK based data centres, which are on site. No information leaves the European Economic Area (EEA)

The City Council IT Department is certified to the internationally recognised standard for information security management, ISO27001.

Access to personal information

Under data protection legislation, individuals have the right to request access to information about them that we hold. To make a request for personal information, contact:

Please note that under the GDPR, there is a right to erasure but the right to erasure does not provide an absolute ‘right to be forgotten’. Where the data being processed is for the purpose of ‘performing a task in the public interest or for our official functions, and the task or function has a clear basis in law’ (GDPR Article 6(1) (e))’, this right does not automatically apply.
